Understanding Flow Template Statuses on the Message Flows List
Learn what each Template Status badge means in your Message Flows list — Approved, Pending, Approved (Stale), Rejected, Mixed, Not Submitted — and what action to take for each.
🏷️ Every WhatsApp message that starts a brand-new conversation has to be sent as a Meta-approved template. The Template Status badge on your Message Flows list tells you, at a glance, whether each flow is cleared to send on WhatsApp — and what to do if it isn't.
What is the “Template Status” column?
When you open the Message Flows list, each flow appears as a row. If your flow sends WhatsApp messages, ChatDaddy submits those messages to Meta (WhatsApp) for approval as a message template. The colored badge in the Template Status column shows the current approval state of that template, straight from Meta.
ℹ️ **The Template Status column only appears if you have connected at least one WhatsApp Business (WABA) channel. **If you don't have a WhatsApp channel connected yet, you won't see this column at all.
Step 1 — Open the Message Flows list
- In the left sidebar, go to Automation → Message Flows.
- You'll see the full list of your flows, one per row, with columns for Name, Template Status, Folder, Last Edited, and Recipients.
Step 2 — Read the Template Status badge
Look at the Template Status column. Each flow shows one colored badge. Here's exactly what each one means:
✅ Approved (blue) — Your template has been approved by Meta. The flow is fully cleared and can start new WhatsApp conversations. No action needed. ✅
⏳ Pending (yellow) — Your template has been submitted and is awaiting approval from Meta. You can't use it to start new conversations until it's approved. This usually clears within a few hours, but can take longer (see the section below).
🔁 Approved (Stale) (yellow/orange) — The template was approved, but you edited the flow's message after it was submitted. The approved version on Meta is now out of date. Resubmit the template so your customers receive the latest version.
⛔ Rejected (red) — Meta rejected your template. It cannot be used to start conversations. Hover the badge to see Meta's rejection reason, fix the message content accordingly, and resubmit.
🔀 Mixed (light blue) — You have the flow connected to more than one WhatsApp account, and those accounts have different statuses (for example, approved on one account but pending on another). Open the flow to review each account individually.
📭 Not Submitted (light blue) — No template has been submitted to Meta for this flow yet. Submit it for approval before you can use the flow to start new WhatsApp conversations.
➖ Blank / no badge — The flow has no WhatsApp template data (for example, a flow that doesn't send a WhatsApp template message). Nothing to approve, nothing to do.
Step 3 — Hover a badge for more detail
Move your mouse over any status badge to reveal a tooltip with extra context:
- Pending — shows who submitted the template and when. Awaiting approval from Meta. If it's been pending a long time, the tooltip adds your account-quality rating and the likely reasons for the delay.
- Approved — shows the approval date. If it became stale, it warns that the message was updated after submission and asks you to resubmit.
- Rejected — shows the rejection date and Meta's reason so you know exactly what to fix.
Step 4 — Filter your flows by template status
To focus on flows that need attention, use the filter at the top of the list. Open the filter and choose a Template Status option:
- All — show every flow (default).
- Approved — only flows whose templates are approved and ready to send.
- Not Approved — flows that are not yet usable: Pending, Rejected, Approved (Stale), or Mixed.
- Not Submitted — flows that have never been submitted to Meta.
Why is my template stuck on “Pending”?
If a template has been pending for more than ~8 hours, hovering the badge shows possible reasons. The most common are:
- Your WhatsApp account quality is Low or Medium — Meta deprioritizes reviews for lower-quality accounts.
- Meta is experiencing higher-than-normal review volumes.
- Marketing templates typically take longer to review than utility ones.
- The template content needs manual review by Meta.
💡 **Tip: **Keep your account quality at “High” for the fastest approvals. You can check it under Manage Channels → your WhatsApp channel. Reduce block/report rates from recipients to improve quality over time.
